RedLabs8.ai ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at redlabs8.ai and use our services.

We may collect information about you in a variety of ways, including:

Personal Information

When you fill out a contact form, sign up for a service, or communicate with us, we may collect personally identifiable information such as your name, email address, phone number, company name, and any other information you voluntarily provide.

Usage Data

When you visit our website, our hosting provider, Cloudflare, records standard request information such as your IP address, browser type and the page requested, to deliver the site and protect it from abuse. We do not run analytics tools on this website.

Cookies and Tracking Technologies

This website does not set its own cookies and does not use analytics, advertising or tracking cookies or web beacons. Forms and voice widgets embedded from our CRM and telephony provider, GoHighLevel, may set their own cookies. For more detail, see the Cookies section below.

Calls to Our Voice Agents

When you call a business that uses a RedLabs8 voice agent, or call us, the call may be recorded and transcribed. The call is carried, recorded and transcribed by our CRM and telephony provider, GoHighLevel, and the speech services it uses. We keep the recording, the transcript, a summary, your phone number and the details you give during the call, so that we can provide the service to that business and handle billing and disputes. These are call records and follow the call-records period in the Data Retention section.

Demonstrations for Businesses We Contact

To show a business what a voice agent could do for it, we may build a demonstration using information that business publishes on its own website, such as its name, branding and public contact details. The demonstration page is removed 60 days after the business tells us it is not going ahead, and never later than 90 days after it was built. If the business does not become a customer, we delete its details within 12 months.

Courses

If you enrol in a RedLabs8 course, we hold your learner account (your email address, and your phone number if you give one), your progress through the course and the answers you give in its exercises, your orders, the name printed on your certificate, a record of the course emails we send you, and the IP addresses recorded when you sign in. Course accounts and records are held with our database provider, payments are handled by our payment processor, and course emails are sent through the providers listed in the Data Sharing section. How long we keep each is set out in the Data Retention section.

2. How We Use Your Information

We use the information we collect for the following purposes:

• To provide, operate, and maintain our services
• To respond to your inquiries and fulfill your requests
• To send you service-related communications and updates
• To improve our website, services, and user experience
• To detect, prevent, and address technical issues or security threats
• To comply with legal obligations and enforce our terms

3. Data Sharing and Third Parties

We do not sell your personal information. We may share your information with third parties only in the following circumstances:

• Service providers: We work with third-party providers who host our website and help us deliver our services: Cloudflare (website hosting and security), GoHighLevel (CRM, messaging and voice telephony), Supabase (database and course accounts) and Stripe (payment processing). Each provider handles your data under its own published terms of service and data-protection terms.
• Legal requirements: We may disclose your information if required by law, regulation, legal process, or governmental request.
• Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
• With your consent: We may share information for any other purpose with your explicit consent.

4. Data Security

We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption, secure servers, access controls, and regular security assessments. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

5. Your Rights

Depending on your jurisdiction, you may have certain rights regarding your personal information:

GDPR (European Economic Area)

If you are in the EEA, you have the right to access, rectify, erase, restrict processing of, and port your personal data. You also have the right to object to processing and to withdraw consent at any time.

6. Cookies

Cookies are small data files stored on your device when you visit a website.

• Our own cookies: This website does not set any cookies of its own, and uses no analytics, advertising or preference cookies.
• Embedded forms and widgets: Our contact, sign-up and top-up forms and our voice widgets are provided by GoHighLevel, and the forms include a Cloudflare security check. These may set their own cookies under their providers' policies.

You can control and manage cookies through your browser settings. Disabling certain cookies may affect the functionality of our website.

7. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes for which it was collected, comply with legal obligations, resolve disputes, and enforce our agreements. When your data is no longer needed, we will securely delete or anonymize it.

Where we hold data for a customer who has ended their service with us, we apply these periods:

• Account data — contact details, settings and configuration are deleted within 90 days of the service ending.
• Call records — records of calls handled on your behalf, including usage needed for billing and dispute resolution, are retained for 7 years and then deleted.

Call recordings and transcripts are part of the call records above. If you are a learner on one of our courses, your account details, your course progress and your certificate name are deleted within 90 days of your account being closed, and records of your orders and payments are kept for 7 yearsfor tax and accounting, then deleted.

You can ask us to delete your data sooner. Where a legal or accounting obligation requires us to keep a record, we will tell you which record and why rather than deleting it silently.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the effective date. We encourage you to review this policy periodically.
